Orders View

Orders view shows individual resident orders. Use this view when plating meals and delivering food to residents.

Before You Begin

Make sure you understand how to navigate and filter the prep report. See Navigating and Filtering the Prep Report for details.

Switching to Orders View

  1. Open the prep report by selecting Prep from the main menu.
  2. Select Orders at the top of the page.

Understanding Orders View

Orders view lists all residents with orders for the meal service. Each row shows:
  • Resident name and room number
  • Status badges (away, no order, meal skipped)
  • Dietary badges (allergies, conditions, diets, tags)
  • Delivery notes indicator
  • Where the resident will eat
  • Delivered checkbox
To see what each resident ordered:
  • Select any resident row to expand it.
  • The list shows all meals and items the resident ordered.


Order Details for Each Item

When you expand a resident's order, you see details for each item:
  • Item name - The meal or dish ordered
  • Count - Number of items (e.g., 2 slices of toast)
  • Serving size - S (Small), M (Medium), or L (Large)
  • Texture or thickness - IDDSI level like "Pureed" or "Minced & Moist"
  • Special instructions - Any notes about preparation
  • Selected options - Dish options like "No onions" or "Extra sauce"

Note: Recently changed items (modified in the last 30 minutes) are highlighted to help you spot updates.

Viewing Full Resident Dietary Profile

To see complete dietary information for a resident:
  1. Find the resident in the list.
  2. Select the person icon next to their name.

Marking Orders as Delivered

As you deliver meals, mark them as delivered to track progress.

To mark an order as delivered:
  1. Find the resident in the list.
  2. Select the checkbox in the Dlvd column.
The row collapses automatically and shows a green tint to indicate delivery is complete.


To unmark a delivery:
  1. Find the delivered order (shown with green tint).
  2. Unselect the checkbox in the Dlvd column.

Note: You need permission to mark orders as delivered. If the checkbox is disabled, contact your administrator.

Delivered Counts

At the top of the page, you can see:
  • Total residents
  • Total orders collected
  • Total orders delivered
These numbers update in real-time as you mark orders delivered.

Tip: Use the delivered count to track your progress through meal service.

Adding Delivery Notes

Add notes when delivering meals to record important information like refusals or special requests.

To add a note:
  1. Find the resident in the list.
  2. Select the Notes button next to their name.

  1. Type your note (up to 200 characters).
  2. Select Save.


Common notes include:
  • "Refused meal"
  • "Away at appointment"
  • "Ate in dining room instead"
  • "Requested a sandwich instead"
The note appears next to the resident's name. You can edit or remove notes at any time.

Note: Delivery notes help track patterns and provide information for care reports. They don't replace existing documentation processes like food and nutrition charts or clinical records.

Order at Service

New orders that come in during meal service are highlighted to help you spot them quickly.

When a resident's order is added or modified:
  • A "New" badge appears on the order
  • The row is highlighted


The badge and highlight disappear automatically after you expand the order.

Idea
Tip: Watch for new orders during service to make sure you don't miss late orders.

Tips

  • Use Expand all to see all orders at once when plating multiple meals
  • Apply filters before starting delivery (e.g., filter by dining room) to work room by room
  • Mark orders as delivered to avoid confusion about what's been served
  • Add delivery notes for any unusual situations for care team follow-up
  • Assign one person at each service point to control the tablet. For example, a care staff member can stand by the bain-marie, call out orders to kitchen staff who plate, then mark each order as delivered when it's taken out to serve. This keeps the workflow organised and ensures accurate tracking.
