Archiving and Unarchiving Residents

Archive a resident's profile when they leave your facility or are deceased. Archiving hides them from the active resident list without permanently deleting their record.

Note: If your facility has a clinical system integration, residents are archived and unarchived automatically as they are discharged and re-admitted in your clinical system. Manual archiving is only needed if you manage residents without an integration.

Note: Archiving and unarchiving requires a Clinical role. If you don't see the Archive option, contact your administrator.

Archive a Resident

  1. Go to the Orders page.
  2. Select the resident's name to open their profile.
  3. Select Edit.
  4. Select Archive (at the bottom of the window).
  5. Confirm when prompted.
The resident is removed from the active list.



Find Archived Residents

Archived residents are hidden from the default list view. To find them:
  1. Go to the Orders page.
  2. Select Filters.
  3. Under Status, check Archived.
  4. The list now shows only archived residents.

Archived residents display an Archived badge next to their name.


Unarchive a Resident

If a resident returns to your facility, you can restore their profile with all their dietary information intact.
  1. Find the resident using the Archived filter (see above).
  2. Select the resident's name to open their profile.
  3. Unarchive using either method:
    • Select Un-archive in the banner at the top of the page, or
    • Select Edit, then select Un-archive at the bottom of the modal.
  4. Confirm when prompted.

The resident reappears in the active list.



What Happens to an Archived Resident's Data

  • Their dietary profile, order history, and notes are all preserved.
  • They no longer appear in the active resident list or order-taking screens.
  • Their profile cannot be edited while archived.
  • They cannot be marked as Away while archived.
