Creating and Editing a Resident Profile
Add new residents to Embrayse and keep their dietary and personal information up to date.

Important: If your facility has a clinical system integration (e.g. PCS, Leecare, Telstra Health), resident profiles are created and archived automatically as residents are admitted and discharged. Do not create residents manually if you have an integration in place. If a resident is not appearing in Embrayse, check that they have been added in your clinical system with their room number and required fields correctly set. If the issue persists, contact Embrayse support. See

Note: Creating and editing resident profiles requires a Clinical role. If you don't see the Edit button on a resident's profile, contact your administrator to check your permissions.
Create a New Resident
When a new resident is admitted, add them to Embrayse so the kitchen has their dietary information ready.
- Go to the Orders page.
- Select Add Resident at the top of the page.
- Fill in the resident's details (see Fields below).
- Select Save.
The resident will immediately appear in the resident list and their dietary profile will be available when taking orders.
Edit a Resident Profile
Update a resident's information when their dietary needs change.
- Go to the Orders page.
- Select the resident's name to open their profile.
- Select Edit.
- Make your changes.
- Select Save.
Note: If you have a clinical system integration, some or all fields may be greyed out with a chain-link icon indicating they are controlled by the clinical system. These fields must be updated in the clinical system and will sync to Embrayse automatically. See Clinical System Integrations Overview for more details.Tip: Changes to a resident's profile trigger a notification to all users in the system. This ensures the kitchen and other staff are promptly aware of any updates.
Fields
A few things to keep in mind when filling in the form:
- Location and Room — if the room is already assigned to another resident, you will see a warning. You can still save, as this can happen during room transitions.
- Tags — you can create new tags on the fly by typing and pressing Enter, in addition to selecting from existing ones.
- Food Texture and Drink Thickness — these fields are critical for resident safety. Always confirm the correct IDDSI level with the clinical team before setting.
